How Mars Elite Recruiting collects, uses, and protects personal data.

1. Operator and scope
Mars Elite Recruiting is operated by Mars Elite Group LLC ("Mars Elite", "we", "us"). This Privacy Policy describes how we handle personal data collected through the Mars Elite Recruiting platform and public website, including account data, candidate profiles and applications, employer/company information, and information submitted via public forms such as the Contact page.
2. Information we collect
Account and profile information (name, email, password hash, role); candidate information you choose to provide (resumes, work history, skills, application materials); employer and company information (organisation details, job postings, hiring-team membership); job and application data (applications, interview notes, offers, and related hiring-workflow records); communications (messages sent through the platform or submitted via public forms, and support/enquiry correspondence); technical and log information (device/browser information, IP address, and platform usage/audit logs); and, for organisations using invoicing or online payment features, payment-related metadata such as invoice status, amounts, and payment/refund records. We do not collect or store payment card numbers or bank credentials ourselves - where online payment is offered, card and bank details are handled directly by our payment processor, not by Mars Elite Recruiting. We do not sell personal data.
3. How we use information
To operate the Service (matching candidates to roles, managing applications, interviews, offers, and onboarding); to communicate with you about your account, an active engagement, or an enquiry you submitted; to bill and reconcile employer/client engagements where invoicing or online payment is used; to maintain security, audit, and compliance records; and to improve the platform through aggregated, non-identifying analysis of how it is used.
4. AI-assisted processing
Mars Elite Recruiting uses AI assistance for specific, narrow tasks - such as summarising resumes, structuring job requirements, and surfacing candidate-to-role alignment - to support, not replace, human decision-making. Sensitive attributes are excluded from AI matching signals, and hiring decisions remain the responsibility of the employer or recruiter, not the AI. 5. Cookies and analytics
We use essential cookies required for authentication and core platform functionality, and we use analytics, error-monitoring, and session-quality tools (which may set their own cookies or use similar technologies) to understand platform usage and diagnose issues. These tools are configured to support the Service, not to sell your data to third parties.
6. Service providers and processors
We use third-party service providers to operate the platform, including for email delivery, error monitoring, analytics, and cloud hosting/storage. Where an organisation enables online payment, payment processing is performed by approved third-party payment processors (for example, Stripe and/or PayPal, where and when enabled); those processors handle payment-method data directly and are themselves responsible for the security of that data under their own privacy terms. Each provider is bound by its own data-processing terms and only receives the information needed to perform its function for us.
7. Sharing of information
Candidate application materials are visible to the employer/recruiter team associated with the specific job applied to, governed by the same role-based access controls that govern the rest of the platform. Employer commercial/billing information (such as invoices and payment status) is visible only to that employer's authorised users and to Mars Elite personnel with a legitimate operational need. We do not share personal data with third parties for their own independent marketing purposes.
8. Data retention
We retain account, application, and engagement data for as long as the relevant account or engagement is active, plus a limited period afterward for legal, tax, and audit purposes. Audit-log records of significant account, hiring-workflow, and billing events are retained separately as a compliance record, consistent with applicable law.
9. Security
We apply role-based access controls, encryption in transit, and audit logging of sensitive actions across the platform. No online service can guarantee absolute security, but we design the platform to limit access to personal data to what a given role legitimately needs.
10. Your rights and choices
Signed-in users can manage communication consent and request an export or erasure of their data from the Privacy section of their dashboard. Erasure requests are reviewed and fulfilled by a Super Administrator; export requests are served immediately. Depending on your location, you may have additional rights under applicable data protection law; contact us to exercise them.
11. Children’s privacy
The Service is intended for use by working professionals, employers, and job candidates who meet the applicable legal working age in their jurisdiction. It is not directed to children, and we do not knowingly collect personal data from children.
12. International users and data transfers
Mars Elite Recruiting serves employers and candidates across multiple regions. Where personal data is transferred internationally, we take steps intended to provide an appropriate level of protection consistent with applicable law, such as standard contractual clauses where required for transfers from the European Economic Area and United Kingdom.
13. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated through the Service, and the "last updated" date above will reflect the most recent revision.
